BEST PRACTICE CASE STUDY: BTC
BTC’S CHALLENGE
First Global Challenge 2018 was an international event involving more than 2,000 teenagers participating from all over the world. The event was hosted in Mexico City with each team comprised of young people between the ages of 14 to 18 years old, each accompanied by a mentor.
BTC was responsible for receiving, transferring, hosting and feeding the participants in addition to ensuring their health and safety throughout to the competition. However the biggest challenge facing the event organisers was how to make each of the participant kids feel welcome and free in order to have a transcendental experience that will impact their lives.
In ways both big and small, FIRST Global is impacting the lives of youth around the globe. They empower them to be part of the generation that will change the world.
The FIRST Global Challenge invites each country to send a team to compete in their ‘Robotics Olympics’, which take place in a different nation each year.
Themed around the greatest challenges facing our planet, including the 14 Grand Challenges of Engineering identified by National Academy of Engineering, each year a different challenge takes center stage in an effort to foster understanding and cooperation among the youth of the world as they use their abilities to solve the world’s problems.

BTC’S SOLUTIONS
1. Multicultural logistics
A committed team capable of understanding and attending to the various multicultural needs of the young participants was recruited to help address and manage these issues.
2. Accommodation
Selected hotels were sourced to cover the different hosting requirements of the event i.e. strategic location, rooms with capacity for two, three and up to four people, optimal facilities and good service. A special team was assigned specifically for the administration and distribution of the rooms.
3. Airport
The responsiveness of the team was very important due to two fundamental factors: flight delays and customs conditions. Even though BTC had a list of the participants and their arrival times, airline delays forced the BTC team to make quick and effective adjustments that needed to comply with individual customs procedures. This also involved ensuring the arrival and delivery of each team’s robots to the competition venue. BTC implemented a flexible approach to the logistics of the changing arrival times.
4. Registry
BTC introduced an online system which ensured the successful registration of all participants and staff members which included almost 3000 people who needed to be registered on the same day. This system allowed BTC to have greater control over the attendance and movements of people entering and leaving the site and thus ensure the integrity of the event competitors.
